Do You Need HELP?
10 TIPS to ASKING for the HELP YOU NEED

1. Remember, if you don’t make the request, it will NEVER happen.
Wayne Gretzky once said, “One hundred percent of the shots I don’t make don’t go in. Likewise the unasked question is never answered.
2. Don’t beat around the bush! Just ask!
3. If it’s an extraordinary request, say so. BIG requests are often the best request. Be 100% upfront and honest about what you want and what’s involved.
4. If the request is work that YOU normally (or should) do, explain why you can’t. You don’t need to provide tons of details, but again, be honest with the person you’re making the request of (and with yourself).
5. Don’t assume you know what the answer will be. Maybe they’ll say “No.” Of course, they might say “Yes”.
6. Recognize that the person *can* say “No.” You may not like it, but it will happen from time to time. Accept it and move on.
7. Make one request at a time. Asking for help, assistance, changes, etc., is fine, but don’t overwhelm a person with multiple requests all at once.
8. Make the request clear and distinct.
If there’s an exact way it needs to be done, let the person know. Give them all the information to make a good decision, but also so they can really do what you need them to do.

Working for nothing?
To often we refer to volunteers in a flippant manner, almost like they are just an adult 4-Her, or another acquaintance. What they really are is the front line, unpaid employee of Texas AgriLife Extension Service. They are our co-workers. We do not bestow the privileged of representing 4-H and our agency to anyone. They must apply! They must be approved! they must be Hired! even if they are hired with no salary.
The development of our unpaid employees is every bit as important as the develpment of CEA's and Specialists. It's time we start thinking of them as our co-workers. we can hire 'em, we can guide 'em, we should train 'em, and on occasion we should fire 'em.

Keeping 'em safe
Inherently we know that as a professional youth educator one of our first obligations is to keep youth safe. that includes structuring a safe environment for learning and surrounding them with adults that will have a positive influence in their life. That "positive influence" maybe hard to gauge, but we have a system for gauging the converse. Texas 4-H Youth Protection Standards (volunteer screening) is our first line of defense against adults that could/would harm our children. It is also the standard we have created for keeping youth safe while under the supervision of 4-H Volunteers.
We must never let down our guard! It is with our best intentions that we make exceptions. Accepting late entries, including kids in the program that forgot to register, or reconvening the Validation committee to squeeze in one last validation. One place we can not make exceptions is volunteer screening.
Know that it takes a minimum of 48 hours for the state 4-H office to process a volunteer screening request. If today is Wednesday and a last minute change has created the need for an additional chaperon on Saturday, your only pool of candidates, are previously screened volunteers.
Be pro-active. Encourage even moderately active adults sign up as adult leaders early in the 4-H year, and turn in their screening paperwork as soon as possible.

Can you FEED me now!!!!!!
We live in a country of abundance... don't believe me, look at my waste line (not a pretty picture). We also live in country where children go to bed at night hungry. When you see a bumper sticker that says the American Farmer Feeds the World, it's a lie. We are a net importer of food. But that does not mean we do not have enough to eat.
As a nation we are blessed. As individuals that go to bed at night without want for food, you and I are blessed. Let us pass that blessing on!!!!!
Secretary of Agriculture Ed Schafer, has launched an initiative to fight hunger. His initiative is tailor made for the type of community service we offer through 4-H. It involves volunteer, community gardens, food drives, and resources to mount a coordinated community effort.

Show Me the $$$$$
It's never too early to start planning for college. That includes preparing for Scholarship Applications. We are lucky that the 4-H Foundation Scholarship Application closely follows the Texas 4-H Recordbook. This makes life a lot easier for graduating 4-Hers, if they have done recordbooks during their 4-H career.
The other big "if" that enters into the equation is if they prepared for the process by making good grades, taking the SAT early enough, Etc..... The time to start the process of preparing for the scholarship application is a child's freshman year, or earlier. When they reach their Senior year in highschool, there's not much we can do to help them, if they have not already started.
I know it's a hard sell, but the best audience for Scholarship Workshops is the freshman class, not the seniors.

Vote early, and vote often!!!!!!
This now cliche quote, can be attributed to William Hale Thompson, Mayor of Chicago in the early 1900's, but it seems to fit today's politics.
News stories about ACORN, Joe the Plumber, Who does and does not wear a flag lapel pin, and Endless arguments over the deficit, are enough to make the most patriotic of us cynical. That along with the fact that many of you will be in Brownwood on election day could make it hard for you to make time to vote.
But do not let the negative campaigning, the constant bombardment by cynical adds, or the nasty nature of this years political campaign, keep you away from the ballot box. Also do not let the Texas 4-H Summit keep you from practicing your Civic Duty. Who you vote for in the national election is less relevant than the fact that you vote. It is also important that we all remember that there is a so called "down ballot" that needs our attention. The president is not the only position we are currently deciding.
As a reminder: Early Voting is open across the State, and if you are registered for the Texas 4-H Summit you will not be at home on election day!

I'm still amazed by what our youth can accomplish when we simply get out of their way. I think you will also be amazed by the Pod Cast created by a 4-H group in Grimes county. This podcast is narrated and produced by a group of 4-Hers.

Recovery
There are too many people to thank for the work that has gone into supporting the Hurricane ravaged areas of Southeast Texas. We have all been affected, and we have all given what we can.
Whether your house lost power, lost a roof, or is just plain gone, seems as though this storm touched us all. Through this, though it is hard to find the good, we see the good everyday if we look at those around us giving of themselves, and their resources to improve the lives of those effected.
It is in times like these that I am proud to work for Texas AgriLife Extension; proud to be an American; proud to be a Texan. Extension has responded to this disaster in many ways, not the least of which is through operation "No Fences". Through this effort upwards of 4,000 round bales of hay have been delivered to Southeast Texas in support of stranded/stray livestock. In addition 400 water troughs have been delivered to water cattle, in areas with salt contaminated water supplies. There has also been financial contributions of over $115,000. All of this done as a hummanitarian cotribution and a contribution to our brethren in the Agriculture Community.
Through all of this I have also listend to the naysayers that ask why we are working so hard and contributing so much to an industry/people that should be able and prepared to stand on their own.
For me it has felt natural to give and to work to address the needs of the people of Southeast Texas. I think it also feels natural for most other Extension Employees. For those that it does not come natural to, I offer this as an explanation of why we are working so hard to help the people of Southeast Texas:
Because we are good people....even if they are not
Because we will make good decisions....even if they do not
Because we believe in the greater good for all people...even if they do not
Because we are blessed... even if they are not
Because we can... and right now, They can not!
We help our fellow man because it is the right thing to do.... Regardless of the responsibility, ability, or stability of the man we are helping!

Here we go AGAIN.....
As I Write this blog I am waiting for another SOC teleconference. I can't tell you what SOC stands for, but I know what the group does. They coordinate the emergency disaster relief effort for the State of Texas. Pretty high level stuff, and it includes us! Texas AgriLife Extension as an agency of the State of Texas is committed to supporting disaster relief efforts in anyway that we can. My first thought regarding disaster relief and our agency was "how can we really help".
After experiencing the near miss of Hurricane Gustav I now better understand what we can and should do. First we can stay informed. Information both locally and from the state should lead our efforts. For some of us that means we will be evacuating along with our constituents. For others that means providing assistants to shelters and evacuees.
If you are not in an area evacuated it is important that you make the presence of Texas AgriLife Extension known in the relief effort. In doing so you will gain the information needed to see just how we can help. In doing this I would suggest visiting the Shelters that are established in your county and introducing yourself and our agency. Also let the Shelter Directors know about our local network of Volunteers and 4-H families. As needs in the shelters arise we are uniquely positioned to activate volunteer resources and gather goods for people in need.
Your District DDC's (that would be Dale Fritz, Monte Dozier and myself) will communicate with you to coordinate information and help you locate resources or assistance as needed. Gustave showed us that information during a disaster is the prime resource and is often hard to come by.
Ultimately our Agency may be needed most in the aftermath of Hurricane Ike, but steps and planning we make now will determine how we can provide support later.

Ready Set Go!!!!!!
The 4-H year has started, and like every event we organize things start to work themselves out once we get past the original inertia.
Part of what has created the inertia this fall has been all the uncertainty regarding 4-H Connect and re-enrollment. I hope the training this past week has us all up to speed. It's worth repeating - As we implement this new system we will be relying on each other to climb the learning curve.
As a reminder if you have not already sent a copy of your county calendar to the district office, they are due on September 15, along with a county 4-H budget.
We seemed to have dodged the bullet with Gustav. A special thanks goes out to all the agents that pitched in to man the animal shelters and provide an extension presence at the family shelters. I would name names, but I know I would leave too many out.
Lets all say a quick prayer that Hurricane Ike is no worse than Gustav.

Time to share resources.....
We can all use a healthy dose of "Working Smarter and not Harder", which leads me to today's blog topic: "Sharing Resources". Anytime we can share the resource we have developed to support our 4-H program we make the life of a fellow Extension agents easier, and they in turn, will make our life easier.
What I would like to propose today is the sharing of promotional and marketing material you have developed/used in your county. I will facilitate the sharing of these resources around the district. What I need you to do is send me your stuff.....preferably in electronic format. Send me anything you are currently using to market your 4-H program. I will get these items posted in a way that we can all share and benefit from each others work.

Leader College Open For Registration
District 9 4-H Leader College is one of the best opportunities you have to let someone else teach your leaders things you need them to know. Work smarter instead of harder. Recruit volunteers to work in the project areas in which you lack expertise. Or recruit volunteers to work in routine areas that they are qualified to support, and free your time to address the things your program needs, as opposed to what is currently urgent.
Leader College Registration is available on 4-H Connect and an Itinerary can be found on the D9 Web Page. The cost for leaders, agents, and youth is $15. The deadline for registering is August 1.

Recordbooks
Recordbook judging July 9, at three locations across the district...... You know the drill, we've all done it before. But before you succumb to the doldrums of thinking about 4 to 5 hours of judging recordbooks, you should stop and consider what you will really be doing tomorrow. you will be providing feedback to a young person on the quality of their 4-H experience. An experience that is very important and special to them. And they have taken the time to chronicle that experience in the convoluted process we call the 4-H Recordbook. It's not just a book we are evaluating, but the experience, activities, and goals of a young person.
In our jobs we touch people every day. Hopefully when you consider tomorrow's task you can think of it as an opportunity to touch a young person in a positive way.

More than a Horse Show going on..... But not much more!!!!
It may be past crunch time in your office in regards to District Horse Show, but here at the District Office the Horse Show is priority number 1, along with State Roundup, Leadership Lab, Goal Setting, Action Plans..... You get the picture.

D9 4-H Training.... Good to go
First things first: The attire for this weeks District 9 4-H Agent Association Meeting is professional casual. Your professional association has provided a more detailed description of what this means, but in simple terms for guys: no coat or tie, but jeans and t-shirts are too casual; for ladies, no pantyhose or dresses, but jeans and t-shirts are still too casual.
There will be a registration fee of $20 collected on site.
As a reminder we will be meeting at the Lake Conroe KOA on Wednesday, May 21 - 22. Registration on the first day begins at 9:00 a.m. The second day starts at 8:15 a.m. (and yes, the association meeting is considered part of the training and there is an expectation that all 4-H coordinators participate)
Agenda Highlights include:

Texas 4-H Congress ... TODAY IS THE DAY
Texas 4-H Congress intent applications are due today - May 14, 2008. As of this posting I have only received 14 applications, meaning all 14 will get to go, unless we receive a mess of applications before tomorrow morning - May 15, 2008.
As I stated in the original announcement, we have quota 18 for the District. So, I will continue to take applications until this quota is met. Please note that after today, this is going to be done on a first come first served basis.
4-H Connect is scheduled to open for Congress registration on May 20. We will not approve congress registrations that were not previously acknowledged through the intent - application process.

Livestock Training
You should have got the message, but it was embedded in a lot of verbiage, so here it is again..... There is no longer a MASTER VOLUNTEER PROGRAM FOR 4-H.
Ok, maybe it is not that dramatic, but from a state perspective we are no longer supporting 4-H master volunteer development. We are moving to a new program called Mentor.
This new program is going to be your best friend when it comes to extending your reach and lightning your load......Train volunteers to do some of the things you are currently doing out of necessity, so you can begin doing the really important things, like Vacation (ha, ha).
Seriously, well guided, well trained, Well Selected, volunteers can be a real asset to your county program.
Here are the basics on MENTOR training:

State 4-H Dog Show
Things are a little different this year regarding the State 4-H dog show.
There will be a stronger presence of Extension Faculty at this years event, and subsequently communications regarding the event, are being channeled exclusively through County Extension Offices.
What does this mean for you: Make sure your 4-H Dog Clubs and Project Groups are aware of the entry process, & deadlines. Also make sure they have access to the latest State 4-H Dog Show Rules.
In the past much of this was communicated (or not communicated) directly to 4-H Dog project leaders. That is not being done this year.

Leadership Lab Is Open

212 Degrees
Thanks go to all of the District 9 Extension Staff involved in the "Enhancing the 4-H Experience" training. Your commitment and dedication to the 4-H youth showed through your engagement and participation in this kick off event, to reaching even more youth through 4-H.
I hope that each of you can embrace the challenge presented by 212 degrees. In so many examples, that concept shows how narrow the gap is between success and failure. It also shows that with well directed extra effort large benefits can be gained.

Sneak Peek for 4-H Coordinators
I want to take this opportunity to share with you a preview of a "work group" instrument we will be using at tomorrow's training. The document is currently posted in pdf format on the D9 web page under agent resources. It is titled "Action Plan".
4-H Coordinators and 4-H Agents are going to be asked to lead a discussion with the professional staff from their county, using this document. Many of you may find it beneficial to pre-read this document before attending the training.
During the training we will break into county groups and complete this instrument. For those agents in single agent counties, you will meet together as a collection of counties to share ideas.
Some of the questions on this document are thought provoking others are a matter of, just knowing the facts. It is my hope that by completing this instrument with our co-workers we will reinforce the philosophy that 4-H is everybody's responsibility in Texas AgriLife Extension.
Feel free to post comments concerns or questions regarding this or any other blog on the site.

Roundup, Roundup, Roundup
State Roundup is coming fast.... and we only have one contest left to qualify individuals. The District Shooting sports Contest is Scheduled for May 3, 2008. Registration for the event on 4-H Connect Closes this weekend!!!!!
No District Meetings at Roundup: For the fist time since I have been in the 4-H Program there will not be District 4-H Meetings during State 4-H Roundup. These meetings have served as an opportunity for pep-rally, and information sharing. Unfortunately the attendance at these meetings has dropped to a point that they are hardly worth having. So, we are not having District 4-H meetings any more, at State 4-H Roundup.... We can all mourn collectively.
Most Important: The State 4-H Roundup Qualifier list for District 9 has been completed with the exception of Shooting Sports. This should serve as your template for who needs to register from your county, and who should not. We ask that you also let us know if someone on the list will not be going to State Roundup. If we can get this information before Roundup Registration closes we will offer their spot at Roundup to the next highest placing 4-Her in their Roundup category.

We have a great agenda planned for the Spring 4-H Agent/Coordinator training. Topics include: County Support of Livestock Projects, Modernization of the Clothing Project, Social networking, and more. The training will be May 21 - 22, 2008 at the Lake Conroe KOA
This training is being offered through the support of your District 9 4-H Agents Association and the agenda and training topics have been developed by your co-workers. This should turn out to be one of those opportunities that you can really use!!!!
Something to think about: There is more to this two day training than the educational sessions. The overnight stay offers the opportunity for fellowship and networking among your co-workers. For most participants this informal time will prove to be more valuable than the actual training agenda. On behalf or your District 9 4-H Agent Association Leadership I ask that you to seriously consider taking advantage of the amenities at Conroe KOA and staying the night in one of the cabins. I think you'll not only benefit from the experience but you'll also have a lot of fun!
Lastly, hurry and go to the doodle link to register your intentions for the training. We need a head count!!!!!

The process requires that the certifying county enter a Horse Validation Number. This is a new requirement and will probably take more time than we would like.
Sign of the times: The Southern Region 4-H Horse Show will be requiring all riders to wear helmets in all events. Something to think about; we will probably see this trend moving our way.

Distric 9 Roundup Latest News
The Swine Skill - a - Thon work shop is a go and should prove to be educational and Fun
Marrie Kenney, CEA 4-H Orange county will conducting a Swine Skill a thon workshop during District 9 4-H Roundup. This will be a come and go type session for youth to see how a skill a thon works and hopefully get excited about this new competitive area.
The Workshop will begin at 10:30 a.m and Marrie will work with youth and parents as long as there is interest.
Give it a try.
Official Schedule. If you are concerned about the schedule for Saturday pleas find it attached. Look closely as there is different start times depending on your job.
If you can believe it we have 280 youth registered for the event...... This should be a good one!

Horse Show Class Prices Going UP!
After spending most of the day pricing cattle for the District 9 4-H Horse Show it has become evident that the price of cattle is up and thus the entry fee for Cattle Classes is going up:
Tie Down Calf Roping - $20
Break Away - $20
Team Roping - $30 per rider
Team Penning - $30 per rider
Working Cow Horse - $30
OUCH!
If there is an opportunity to lower the prices we will, but for now we are going with a pricing structure that will cover expenses..... Let your people know it will be expensive to play in '08.

More District 9 Horse Show STUFF
After opening the District 9 Horse Show on 4-H Connect, a number of you have responded with corrections and suggestions. Keep them coming, this is helping immensely on our end and should help you interpret the system to others after being involved in the process.
Look for District Rules and paper work to be released to the District April 3. We have one more proof reading to complete, and the documents will be sent.
In reviewing the State Rules I came across a nuance in the Horse Ownership guidelines that I am sure many of you are aware of..... I was not. Under the new structure a horse can be shown by more than one exhibitor in the Qualifying portion or the Open portion of the show but not in the same division. This is a big change from past years. Both riders must meet ownership guidelines, and the horse must be validated for both exhibitors, but the option is there. To read the rule as it is written in the State Horse Show Rule book. Look for rule number 3 under miscellaneous.

District 9 Horse Show
There have been a number of changes to the State 4-H Horse Show necessitating changes in the District 9 4-H Horse Show. The most prominent changes involve, addition of classes, changes in limitations on numbers of horses to be shown, and horse validation.
4-H Connect is open for a registration trial run.... If you or your exhibitors want to give it try and provide feedback feel free. All registrations made during the test period will be deleted.

- Addition of classes - The district 9 show has added one English class and has added working cow horse to our schedule. Neither of these should have a significant impact on our overall numbers, but should increase opportunities for youth with horses skilled in these areas. You will note: In the registration system and on the registration worksheet for the show, class numbers have changed from previous years and are not entirely sequential. We have changed the class numbers to match the class numbers used at the State 4-H Horse Show, and we are not offering all of the classes offered at State.
- Changes in Limitations on Horses to be Shown - In the qualifying Divisions exhibitors can show only one horse per division. In the Open Divisions exhibitors can enter multiple horses in the division but only one horse per class. Futurity is an exception to the qualifying division rule. Exhibitors can enter a horse in each futurity class.
- Validation - All horses will be validated prior to May 1. Thus all horses will receive validation number through the system. These numbers will be generated in the County Office and thus will largely go unknown to the exhibitor. In order to track horses entered accurately and ensure proper entry the validation number will be entered by the certifying County Extension agent at the time the entry is certified through 4-H Connect.

Things will be a little different this week at the District 9 4-H Horse Judging contest. Tabulation will be done by Jodi McManus, Extension Program Specialist 4-H. We will be utilizing the Judging card.com scoring system but we will be scanning the forms ourselves. In terms of customer relations we are looking for great things.
Registration will also be slightly different. Each team will have scantrons that are uniquely printed with team information already coded in. This means youth will not need to "bubble in" team numbers etc.... All they will bubble in is their name, and the correct placings of the classes.
We think this change will cut down on confusion. What your coaches will need to be keenly aware of is which kids get which scantrons. As long as all 4 kids on a team get scan trons from the same package, they will all get scored on the same team. If the coaches mix the scan trons up there will be problems. Team name and team number will be printed on the scan trons, so I think it should be fool proof.
If you are familiar with the process at HLSR, you will recognize the process for district.

D9 4-H Congress
Pay close attention to the registration process as it is some what convoluted. In order to fairly distribute a quota of 18 across the district we are asking that counties first submit registration intent forms by faxing them to the District Office. Through this process we will guarantee each county gets at least one delegate and we will be able to offer more to some counties based on availability.
The registration intent form is due on May 14. From these we will notify youth to register via 4-H Connect. We will also develop a waiting list for potential spots.
Don't hesitate to ask questions, this can be very confusing.

Last Day of 4-H Faculty Meeting - Tax
Tax News:
- All documents related to tax exempt status of 4-H and the guidelines for filing taxes for clubs are online under the Agent only section of the Texas 4-H Website
- EIN numbers are giving clubs problems:
- The online site for requesting EIN requires a Social Security number.... This is not a good plan
- Clubs must use the paper form to request an EIN and need to leave any blanks requesting SSN incomplete
- Do not use your personal SSN in completing these forms.
- Washington DC has granted an extension for submitting tax filing until May 19, 2009
- The good news is we have more time to get EIN numbers for all our clubs.
- FYI this situation is being created by the IRS..... Not 4-H.
- Take a deep breath .... This may not be fun, but we can do this.

- Chartering of 4-H Clubs will be moving to 4-H Connect.... Look for instructions in May.
- Blue Bell Ice Cream Update: We should have got the message that we should not be asking Blue Bell for donations of ice cream. Something to look for in March are Bill Boards promoting the ice cream. 100 of the bill boards are going up around the state. I'll share a list of locations when we know where they are.

Salute to Excellence Banquet will be a luncheon this year.... previously this was a evening event.

4-H Connect and the 4-H Center
The 4-H Center will continue to use 4-H Connect for registration for all events sponsored by the 4-H Center (not district leadership lab).
There is however a small catch. Kids will need to register twice for events at the 4-H Center. This is being done in an effort to allow youth to receive refunds if they choose not to go. The first registration is a deposit the second registration is a confirmation of participation and is thus not due until close to the date of the event.

The new State Horse Show rule book has been released and there are significant changes.
The first thing to note is the May 1 validation date. This is not new but it is important. All horses shown at County, State, and District should be validated first. There is also a fee (this is new).

- The show is now broken into major divisions: halter, speed, roping, etc...
- If you show in a division you qualify to go to the State Horse Show in that division
- Kids can show multiple horses but only one horse per division
- There are some divisions that are non-qualifying, meaning a kid can go to state in these divisions without competing at district
Daily grind
The second day of 4-H Faculty meeting and the large agenda items include further development of resources for expansion of County 4-H Programs. The "Strengthening clubs" group has made a list of 28 topics Club Managers should be knowledgeable of. This list has been prioritized and we will now take these topics and create two models for club manager training.

Texas 4-H Faculty Meeting Thoughts to Share
College Prep initiative under way.... target 6th - 8th grade
4-H Set.... What we are doing fits into SET.... Their is nothing individually we need to do. For the State of Texas we are waiting on direction.
Riding for Values - Reality TV show has not received approval for use of the clover. If approached by the filming crew first contact 4-H faculty for status of the project before agreeing to participate.
